Job Description: Museum and Retail Assistant (part time)


Isle of Wight Studio Glass has been established at Arreton Barns Craft Village since 2014 and will be joined in March 2016 by the Isle of Wight Glass Museum, which will occupy adjacent and interconnected premises. The two companies have separate ownership and management, but will share some staff, who will therefore have overlapping responsibilities towards each organisation. Both the museum and the retail area of the studio will open between 10 AM and 4 PM for seven days each week during most of the year, and two part-time posts - a coordinator and an assistant - are required to staff the museum and the studio. It is envisaged that the successful applicants will mostly work opposite each other, devoting approximately half their time to duties specified by Isle of Wight Studio Glass and half to duties specified by Isle of Wight Glass Museum.

For the sake of clarity, the two components of the job – museum and studio – have been itemised separately in this job description.

Component 1 – Museum Assistant (Isle of Wight Glass Museum)

Purpose of the job

To assist the Museum Coordinator in their duties, and deputise for the Coordinator in their absence as assigned, to manage visitor liaison, ticket sales, shop sales, organize publicity for the museum, and assist in the practical arrangements for maintenance of the museum premises and events to be held at the museum.

Main responsibilities

  • Maintains the highest standards of customer and visitor service ensuring all visitors enjoy their visit to the museum and will recommend it to others.
  • Provides information to visitors about the exhibitions and education programme.
  • Works closely with the Museum Coordinator and acts as their deputy when they are not present.
  • Works with the Museum Coordinator to improve the visitor experience, feeling free to make suggestions.
  • Promotes and manages shop sales, promotes ticket sales and the advantages of season tickets, promotes the coffee lounge upstairs as a pleasant place to relax, and the availability of Wi-Fi internet access.
  • Looks for ways to maximize sales, using appropriate promotions and advertising.
  • Manages the museum’s social media channels, including Facebook and Twitter accounts, posting news on museum events, sales promotions, and items of special interest in the museum. Taking the initiative in promoting the museum appropriately is encouraged.
  • Ensures security of museum cabinets and premises, including monitoring of security systems, and reporting of suspicious visitors to appropriate authorities as needed.
  • Handles cash and credit/debit card sales, cashing up, maintains the security of cash, and works with the Museum Coordinator to ensure prompt banking of cash.
  • Handles telephone enquiries in a pleasant and helpful manner.
  • Is cognisant of health and safety hazards in the museum and warns visitors of their responsibilities to ensure personal safety and security.
  • Makes sure the coffee lounge is stocked with beverages and snacks, that the coffee machine is filled with water as needed and switched off at night, and provides the Museum Coordinator a list of supplies to be purchased.
  • Undertakes light cleaning where necessary to maintain a good appearance of the museum.
  • Willingness to extend working hours in the tourist high season and when special events are organized.

Person specification

  • Focused on customer service, perhaps previously in a retail or hospitality environment
  • Good communication skills

  • An enthusiasm for contemporary glass and a willingness to increase in knowledge and to take on more responsibilities

Component 2. Retail Assistant (Isle of Wight Studio Glass)

Responsible to: (1) Managing Director of Isle of Wight Studio Glass. (2) Retail Coordinator.
Works alongside: (1) Retail Coordinator (2) Studio Manager (3) Director of Design and Production.

Main responsibilities:

  • Maintaining high standards of customer service, ensuring that all customers have a good experience of visiting the retail area.
  • Assisting customers in the selection and purchase of items courteously and without condescension; answering customer queries with accurate and helpful information; highlighting special promotions.
  • Handling any complaints in a professional and diplomatic way and referring them on if necessary.
  • Working with the Retail Coordinator to ensure that the shop counter is adequately manned during opening hours; working also to promote good relations between them.
  • Operating the till, handling cash and credit/debit card sales, cashing up, banking and maintaining the security of cash. Dealing with customer refunds.
  • Cashing up and completing any necessary paper work at the start and end of each shift.
  • Maintaining attractive and correctly priced product displays and keeping merchandise clean and tidy. Setting up any promotional displays.
  • Responsible for day to day security in the retail area; being watchful for shoplifters, fraudulent credit cards etc.
  • Packing and wrapping purchased items neatly, attractively and safely.
  • Assisting the Managing Director and Studio Manager to ensure the speedy and satisfactory completion of telephone and online orders, including telephone/email contact with customers; packing and dispatch of postal items.
  • Handling telephone enquiries in a pleasant and helpful manner. Able to deal with potentially complex telephone orders and relay messages accurately.
  • Maintaining stocks of packaging materials and re-ordering as necessary.
  • Following policies & procedures relating to cash & stock handling; responsibility for receiving, storage and control of stock.
  • Keeping the retail area (including the floor) clean and tidy at all times.
  • Is aware of health and safety hazards in the retail area, warns visitors and other staff of their responsibilities to ensure personal safety and security, carries out a fire drill at least once per year.
  • Willingness to extend working hours in the tourist high season and when special events are organized.
  • Attending training sessions and company meetings as required by management.
  • Promoting Isle of Wight Studio Glass and its products at every opportunity.
  • Any other occasional reasonable duties as requested by management.

  • Previous retail or “Front of House” experience.
